To:  Choir Members
Liebe Alexandra,

Thank you very much for your generous  offer "to send out emails of behalf of the choir" in the future!  Knowing how professional, efficient and reliable you are, the future of the Choir is in good hands.                            For your information, I attached the 2013 AGM agenda of Oct. 17th; it was accepted by the 22 attending active Choir members in this form.  Item 7. with the foot-note remark may be of special interest for you.

Here a brief summary where the Vancouver Swiss Choir stands:
  • No President or Secretary yet:  From the minutes of the "AGM 2013" of the Vancouver Swiss Choir on Oct. 17th, 2013 (to be sent out early next week by me), you will see that nobody stepped forward -yet- to take over the Secretary's or President's position.    However, I am glad to tell you that most likely and with some luck  we shall be able to announce the name of the new President at the next choir rehearsal on Oct. 24th willing to serve at least to the end of the 28th Saengerfest, wich takes place  July 10-13, 2014 in Tacoma!
  • Judy Boxler who is professional in electronic communication [computer scientist],  offered kindly at the AGM to be the 'archivist' of certain electronic information and creating a paper trail of it (you two will sort it out timely together with Marie-Louise who knows exactly why this is so very important).
  • Past-President Marie-Louise Hanna  offered generously to remain active in the Executive  to the AGM 2014.
  • Conductor Dubravko Pajalic expressed its satisfactions over the progresses the Choir maid in the last year and is looking forward to a new year.
  • Rolf B. acts temporarily as "Secretary and co-ordination" of/for the Choi until the new team is operational.  Please, address for the time being all questions to me and do not take any actions before everybody is on the same page of which you will be informed by me hopefully by end of the month.
  • Here the e-mails of all -I hope- the active Choir members (as all e-mails of the SSV, they have to be treated confidential: [deleted for the blog]

Please feel free to ask any questions you may have.
Best regards and herzlichen Dank
Rolf

Hello all,

I am happy to send out emails of behalf of the choir, I will however need a mailing list. I don't have a full society/choir list available to me, just the board.

Hi Connie

 It's OK! We did not intend for you to be present as it is going to be less formal than usual. If after Chistmas, you have all the choir figures together, for those interested, you could do some printouts, that we could peruse at another meeting or you could put it on line, Thank You  Melanie

Hi Everyone,

Unfortunately I am not able to attend on such short notice but more importantly I do not have all bank statements yet and we are working through the process of gaining online statements so that we can finalize reconciling the accounts.  Hence I would not have any finalized numbers for you to present anyway.

 Please contact me if you require anything else.

Dear Melanie and Marie-Louise,

The purpose of this e-mail is to come up with a suggestion how the Choir-"AGM" 2013 of tomorrow could be somehow structured/prepared, assuming

  • we have nobody taking over the Presidency/chair from Marie-Louise;
  • we have nobody willing to take over a specific function in the Executive;
  • we have no MC who is prepared to chair the "AGM";
  • one day before the 2013 "AGM" the about 30 active singers do not have an Agenda; however, we have the suggestion of Vice-President Melanie to assign the different tasks/events/responsibilities to different individuals (I am following this idea under point 2. Agenda below);
  • we do not know details about the "template" how to run the Choir Dubravko was talking about at the last rehearsal.

Here my suggestions:

A.  Chair of the 2013 "Choir-AGM"
Mirjam M.(*I have not asked her yet!) or Rolf chair the "AGM".

Why Mirjam?   She is no more involved in the Choir as active singer but knows the Choir very well.  In addition is she very familiar of the SSV at large and last but not least a excellent chairperson.  Why Rolf?  Mainly because I have no idea whether or not Mirjam will agree. Regarding myself:  I was not member of the passed Executive and am not interested to become one due to my function as "Past President of the USSSPC" in the 2014 Saengerfest in Tacoma.
B.  Agenda of the 2013 "Choir-AGM"
:

  1. Welcome  -  Thanks to resigning President and members of the Executive  - Approval of proposed Chair of AGM and Agenda
  2. Brief address by resigning President Marie-Louise Hanna
  3. Financial Aspects incl. Budget of Choir: are now all be the responsibility of the Treasurer of the SSV, Connie Buechler.
  4. Liaison persons to SSV-Board: Since Rolf B. attends most meetings of the SSV-Board as Delegate to the ASR in Bern, he can be one of those liaisons. The second liaison is Karin K. who attends also most meetings of the SSV as their President.
  5. Liaison persons to 27th Pacific Coast Swiss Singing & Yodeling Festival 2014 in Tacoma: Melanie C. offered already to take over this function.  Rolf B. will be only involved in specific aspects due to his position as "Past President of the USSSPC".
  6. Liaison person to "Swiss Herald" and "Swiss Review": Hopefully, Melanie C. will take over this position.
  7. Keeper/Archivist of Trachten & Chuteli:  ??????????
  8. Keeper/Archivist of Music sheets:  Hopefully, Margaret S.  will continue to do it.
  9. Coordination Meetings of the Choir (formerly the meetings of the Executive):  Will take place parallel to the meetings of the SSV-Board either immediately before or/and after.  Past President Marie-Louise H. offered already to remain as Adviser and offer all her past knowledge and files.
  10. Secretary: if needed especially for sending out e-mails to all choir members will be the Secretary of the SSV, Alexandra B.
  11. Three Performances during Christmas/New Year:  we need to recruit during the AGM one person for each of the following performances: 12.1. VanDusen Gardens: ??????       12.2. Christmas Market: ?????????? 12.3. Seniors' Christmas Luncheon: ????????? The three individuals will with the guidance of Dubravko P. deal with selecting the repertoire.
  12. Annual Spring Choir Concert: Most of the musical program will be based on the 27th USSSPC Saengerfest Tacoma repertoireThe rest will be done by a special "Spring Concert-Team" which will be created in early Spring.
  13.  27th Pacific Coast Swiss Singing & Yodeling Festival 2014 Tacoma: during the preparation time, Melanie C. and Dubravko P. will be in charge, . A special "Tacoma-Team" will be created in Spring.
  14. National Day Celebration on Saturday, July 26th, 2014 at Swiss Chalet: Since the SSV-Board is one of the five organizing Swiss Organizations, Karin K. will be the liaison person.
  15. other issues.
Please, let me know what you think, what you want to add as soon as possible.
I shall bring copies of the Agenda for each member(about 30 copies).
Herzlich
Rolf
